About the Role

We are seeking a detail-oriented and proactive Financial Assistant to support both operational and corporate financial activities at our café. This role reports directly to the General Manager and Regional Financial Controller, balancing day-to-day operational oversight with compliance to company policies.

The Financial Assistant will manage accounting, payroll, human resources, and administrative functions, ensuring financial and administrative controls are maintained at all times.


Key Responsibilities

Financial & Administrative Controls:

  • Maintain and enforce café financial, HR, and administrative controls in line with company policy.
  • Perform regular audit program steps (e.g., cash counts, inventory testing) and report exceptions to the General Manager.
  • Liaise with external auditors and ensure corrective actions are implemented after audits.

Payroll & HR:

  • Manage the fortnightly payroll process, gathering data and liaising with the payroll bureau.
  • Ensure hiring processes for hourly employees are documented and compliant with company policy.
  • Monitor employee relations, worker’s compensation, and other potential liabilities, reporting promptly to management.

Financial & Accounting Duties:

  • Enter invoices accurately and promptly into Infinium with proper approvals.
  • Maintain personnel files, vendor invoices, HR compliance files, and other necessary documentation.
  • Complete or review House Account reconciliations monthly, notifying management of at-risk receivables.
  • Present a professional image to employees, management, and guests.
  • Attend meetings and functions related to areas of financial and administrative responsibility.

Qualifications & Skills

Experience & Education:

  • Minimum 2 years of bookkeeping experience (hospitality experience advantageous).
  • Proficient in Microsoft Word and intermediate/higher-level Excel.

  • Ability to maintain confidentiality and exercise independent judgment.
  • Strong organizational skills and ability to work in a high-energy environment.
  • Effective communication and listening skills; comfortable presenting to individuals and small groups.
  • Multilingual abilities are a plus; fluency in English required.
  • Commitment to ethical practices and sustainability initiatives.

Software Experience (Advantageous):

  • Infinium, Cbord, ADP Payroll, NatWest Bankline
